Job Description

Purpose

The purpose of this position is to assist the Natalie L. Haslam College of Music Main Office with a variety of administrative duties. The Student Assistant will be responsible for the upkeep, organization, and execution of the various functions of the Reception Desk located in the Natalie L. Haslam College of Music Main Office (HMC 117). The Student Assistant will also be responsible for facilitating communications inside and outside the office. This position reports directly to the Administrative Associate located at the front desk. 

 
Job Requirements

Duties and Responsibilities 

  • Knowledgeable of Natalie L. Haslam College of Music policies, procedures, and operations of the Natalie L. Haslam Music Center and Alumni Memorial Building facilities. 

  • Greet visitors in the Natalie L. Haslam College of Music Main Office. Assists and engages with guests and patrons of the Natalie L. Haslam College of Music. 

  • Maintain familiarity with meetings/events occurring in the Natalie L. Haslam Music Center and the Alumni Memorial Building using 25 Live.

  • Check out keys to rooms found in the Natalie L. Haslam Music Center and the Alumni Memorial Building.

  • Demonstrate hospitable customer service when corresponding to various types of inquiries either by phone, email, or in person.

  • Distribute mail and notify personnel when a package has arrived.

  • Receive lost and found items and place them safely in storage. 

  • Perform other related duties as assigned. Such duties may include, but are not limited to, updating calendars, scanning, printing, and copying documents, organizing spreadsheets.

  • Provide front desk coverage when the Administrative Associate is away for lunch, annual leave, sick leave, and/or meetings.

  • Deliver and/or pickup items from other campus offices and departments.

  • Assist the Natalie L. Haslam College of Music faculty and staff with various assigned projects and tasks.

Qualifications 

Must be a student in good academic standing and actively pursuing a degree at the University of Tennessee, Knoxville. This person must possess initiative and ability to work independently and with other Natalie L. Haslam College of Music faculty and staff. Additionally., this person must display tactfulness during interactions with the public and be able to do so without supervision. Previous administrative experience is preferred, but not required. Experience with Microsoft Office, Notion, 25 Live, and Canva is preferred, but not required.

Evaluation Procedure

Evaluation Process
Students and direct supervisor will have open and ongoing communication regarding performance and development. Direct supervisors will conduct a formal performance evaluation at least one time per semester.
