Job Description

The Office Assistant performs a variety of clerical and receptionist duties related to the administrative operations of the FUTURE Program. The OA is supervised by the Program Coordinator and is an enrolled student. The OA understands the daily operations of the FUTURE Program and can effectively answer concerns and questions.

RESPONSIBILITIES

  • Use and maintain the main Program email account.
  • Maintain Visitors Log for individuals and groups that visit the Program.
  • Accept any lost and found items. Contact individuals, if their identity is known, and return items when students can show ID and/or prove the items belong to them.
  • Answer the phones if need be, put callers on hold, and take messages.
  • Report issues to the Program Coordinator or other FUTURE staff members throughout the 8a-5p day.
  • Other duties as assigned by supervisor.
Job Requirements

The following list of expectations is designed to give the OA specific information relative to the day-to-day duties that are performed in their position.

  • Be on time for your shift. This means arriving at the desk before your shift officially starts to allow yourself enough time to be briefed by your supervisor.
  • Each OA should record the time in the daily log they clock in and out.
  • Notify the Program Coordinator if you cannot make a shift or will be late to the shift.
  • Be professional when on duty. This includes your attitude, work, and appearance.
  • Matters concerning FUTURE students are confidential and are not to be shared by anyone.
  • Employ customer service at all times. This includes tone of voice, attitude, and willingness to help solve problems for all students, staff members, and guests who call or visit the front desk The OA should have good knowledge of campus resources, phone numbers, directions, and departmental staff contacts.
  • Be alert and pay attention to what is happening in the Program offices at all times, Log all signficant occurrences in the Daily Log.
  • Control the noise and/or inappropriate behavior of persons gathered in the FUTURE area when needed.
  • Asssist in controlling the cleanliness of the office area at all times.
  • Be familiar with emergency procedures and protocol.
  • Serve as a representative of the FUTURE Program at all times.
  • Perform other duties as assigned by the supervisor.
Evaluation Procedure

The supervisor will provide verbal feedback on a weekly basis during a staff meeting. Supervisor will also provide written or verbal feedback as needed or requested. The OA will be evaluated on professional behaviors, adherance to job description, among other things as needed or requested.
