Job Description

Position name: Veteran Service Office Assistant 

This position will provide vital administrative and operational support to the Veterans Success Center at the University of Tennessee Knoxville. The Veterans Success Center is dedicated to maximizing support for veteran and military-affiliated students by offering unique, purposeful, and intentional services that facilitate their academic and holistic transition into higher education. The core functions of the office include engagement, programming, and fostering an environment where student veterans can thrive in academics, leadership, and community connection. Additionally, the office collaborates with the Veterans Benefits Administration (VBA) team to ensure the certification of each student's VA educational benefits and to provide students with financial literacy resources.

General Qualifications: 

- Must be a current student at the University of Tennessee and eligible for Federal Work Study

-Flexible work schedule based on student's availability and the department’s needs, typically between 8-5 pm. Specific hours will be discussed and agreed upon with the supervisor. 

- Student must be able to work at least 12 hours per week and no more than 29 hours per week. Once student is eligible for Federal Work Study, they start the interview process in person.

-Demonstrates the ability to build and maintain postive, professional relationships with students, faculty, staff and external partners.

-Commitment to serving and supporting veterans and military affiliated students in their academic and personal success.

- Ability to maintain confidentiality and handle sensitive information in accordance with privacy laws and university policies

- Familiarity with campus resources for veteran students and related student support services

 

 

Job Requirements
  • Assist in preparing and organizing VA educational benefit documentation.
  • Maintain and manage VA-related paperwork.
  • Handle email correspondence for inquiries from veterans and dependent students.
  • Manage phone communications for veteran and dependent student inquiries.
  • Support the planning and coordination of veteran-focused events.
  • Provide assistance during veteran-related events on campus.
  • Serve as a resource for military-affiliated and veteran students.
  • Contribute to the Veterans Success Center's social media efforts.
  • Guide students on accessing VA benefits and campus resources.
  • Promote a welcoming and inclusive atmosphere for veterans on campus.
Evaluation Procedure

 

Objective: Ensure the student understands their role, expectations and goals for the semester.

  • Conduct a Comprehensive Information Session on the First Day:
    Provide a detailed introduction to the role and expectations. Have the student review our website and recent updates with the assistance of a peer to familiarize themselves with important resources and information.
  • Schedule Monthly One-on-One Meetings:
    Meet individually with the student each month to discuss both short-term and long-term goals, aligning them with the student’s strengths, interests, and professional development.
  • Host Monthly Staff Meetings:
    Organize group meetings with all work-study students to review team goals, discuss progress, and introduce new performance standards that align with collective team objectives.
  • Regular Check-ins with the Student:
    Touch base with the student regularly to address any challenges they may be facing, provide guidance, and offer positive reinforcement to encourage continued growth.
  • Document and Address Areas Needing Support:
    Track and document any areas where the student may require additional support, such as missed deadlines, attendance concerns, or difficulty with specific tasks. Take proactive steps to provide assistance as needed.
  • Provide Supplementary Training Materials:
    Share relevant videos, training modules, or resources to enhance the student’s skills and improve their performance in key areas.
  • Review Performance After the First Semester:
    At the end of the first semester, evaluate the student’s role to identify areas for improvement or enhancement. Consider adding new tasks or responsibilities to further develop their skills and contribution to the team.
