Job Description

The Natalie L. Haslam College of Music is seeking a reliable, organized, and professional Front Desk Assistant to support the daily operations of the college. This position serves as the first point of contact for guests, students, faculty, and staff, and plays an important role in maintaining a welcoming, professional, and inclusive environment.

Front Desk Assistants are expected to take initiative, ask questions, and stay engaged in the rhythms of the college. Ideal candidates are dependable, curious, respectful, and excited to contribute to a dynamic and supportive environment.

Job Requirements

Customer Service & Communication

  • Greet and assist all guests, faculty, staff, and students entering the College of Music in a welcoming and professional manner
  • Answer phone calls and direct inquiries to appropriate departments (e.g., admissions, financial aid, scheduling, compensation, or facilities)
  • Monitor and respond to the front desk email inbox; redirect or escalate inquiries as needed
  • Maintain a courteous, inclusive, and solution-oriented approach in all communications
     

Administrative & Clerical Support

  • Track and manage building keys using the College of Music’s established checkout system
  • Assist with administrative projects such as data entry, document organization, spreadsheet management, and event material preparation
  • Organize and print materials for events, meetings, and College-related communications
  • Help maintain and update faculty/staff mail distribution and notify appropriate recipients when mail or packages arrive
  • Provides support to the Administrative Associate/Front desk supervisor by performing delegated tasks essential to maintaining efficient college and operational workflows.
     

Facilities Support & General Maintenance

  • Participate in opening and closing procedures around the building (e.g., unlocking classroom doors, checking fire doors, managing key returns, etc.)
  • Check practice rooms/classrooms weekly during closing procedures and inform the front desk supervisor of any notable issues (e.g., equipment missing or disorganized, trash left, damages to equipment or flooring etc.)
  • Review the daily parking calendar and print guest parking passes as scheduled
  • Ensure that the front desk and mailroom areas are tidy, clean, and organized
  • Maintain bulletin boards: remove outdated flyers and post new information as directed
  • Monitor supplies in the main office (e.g., pens, paper, cleaning supplies, ink, hand sanitizer) and inform the front desk supervisor when items run low
  • Help maintain shared spaces including the refrigerator and microwave in the staff area
